How to configure post-call handover automation with CRM sync for field sales
Configure Demodesk AI CRM Concierge to turn field sales voice notes into Dynamics activities, follow-up emails, and Outlook tasks — automatically.
What and why
This guide shows field sales teams how to configure Demodesk’s AI CRM Concierge so that voice notes recorded after on-site visits sync into Dynamics 365 activities, populate custom fields, and generate follow-up emails in Outlook format. Reps stop spending evenings on admin. They speak into the mobile app after each visit and arrive at their desk to find handover documentation, CRM entries, and draft emails already prepared.
Who this is for
Field sales reps and their managers in heating, energy, or manufacturing — where reps run 5–8 on-site visits per day, hand off tasks (quotes, technical questions, callbacks) to inside colleagues, and use Microsoft Dynamics 365 with Outlook.
Prerequisites
- Demodesk Coaching & AI seat with admin access to Agents > Automations
- Demodesk Mobile App installed on each rep’s phone
- Microsoft Dynamics 365 connected via the Demodesk CRM integration
- Outlook/Office 365 calendar connected for each rep
- A defined visit protocol structure: which fields every handover must contain (project type, address, square meters, next step, follow-up date)
Steps
1. Record the visit in the Demodesk Mobile App
Open the Demodesk Mobile App in the car after a visit and tap record. Speak freely: the customer name, what was discussed, any tasks (“send Michael a quote for a 350-square-meter single-family home in Stuttgart”), and the next follow-up date. No structured input needed — the AI extracts the fields.
2. Match the recording to the right Dynamics activity via Outlook calendar
Demodesk uses the rep’s Outlook calendar to identify which customer visit the voice note belongs to. As long as the visit is on the calendar with the customer or company name, AI CRM Concierge matches the recording to the correct Dynamics account or opportunity.
3. Configure your protocol structure in Agents > Automations
Go to Agents > Automations > AI CRM Concierge and define the fields every handover should fill. For a field sales team, a typical protocol structure includes:
- Project type (new build, renovation, replacement)
- Property details (address, square meters, system type)
- Customer requests (quote, callback, sample)
- Next step and owner
- Follow-up date
Add these as custom fields so the AI knows what to extract from every voice note.
4. Map custom fields to Dynamics 365
In the same configuration, map each protocol field to the corresponding Dynamics field on the Activity, Account, or Opportunity record. AI CRM Concierge uses AI object detection to find the right deal and field suggestions to populate the rest.
5. Set up automated follow-up email generation in Outlook format
Enable AI Follow-up under AI Assistant settings. The agent generates a draft email based on the voice note — addressed to the customer, summarizing what was discussed, confirming next steps. The draft lands in Outlook. The rep reviews and sends. Adjust email tone and language under AI Settings.
6. Generate Outlook calendar entries for follow-up tasks
When the voice note mentions a callback or task (“call Müller in three weeks”), AI CRM Concierge creates a calendar entry or task in the rep’s Outlook calendar. This replaces the old Siri-to-Outlook workflow that Apple deprecated.
7. Turn on human-in-the-loop approval (recommended for rollout)
Under AI CRM Concierge settings, enable preview-before-push. Before anything syncs to Dynamics, the rep sees the suggested updates in the AI chat, can edit any field, and approves the sync. Reps build trust, extraction errors surface early, and the works council gets a clear answer about who controls the data. Once adoption stabilizes — typically 4–6 weeks — confident reps can switch to fully autonomous sync.
8. Configure custom vocabulary for technical terms
Add product names, brand terms, or industry jargon (specific heating system models, partner names) under AI Settings > Custom Vocabulary— up to 120 characters. This ensures transcription gets technical terms right from the start.
Tips
- Start with one rep, one region. Pilot the workflow with a single field sales rep for two weeks. Adjust the protocol structure based on what they actually capture, then roll out to the team.
- Keep voice notes short. Reps should record 30–90 seconds per visit. Focused notes outperform 10-minute monologues.
- Use bookmarks for coaching.When a rep handles an objection well, bookmark that recording. Bookmarked recordings are excluded from auto-deletion — use them for team training later.
- Review the first week of CRM updates manually. Have the sales manager spot-check 10 handovers in week one to confirm field mapping is correct.
- Pair with the works council early. Configurable retention (12 hours to 1 year), individual opt-out, and preview-before-push are enough for Betriebsrat approval in most cases. Demodesk can join the works council call if needed.
